Terms of Service
These terms govern your use of Rostora, a scheduling tool operated by Q10 Labs BV(company number BE 1034.312.582), registered in Belgium. By creating an account or using the service you agree to these terms. If you do not agree, do not use Rostora.
1. The service
Rostora helps hybrid teams record and share where people are working each day — on-site, remote, partial days, sick leave, and public holidays. We provide the software, hosting, and support described on our website. We may improve, change, or discontinue features with reasonable notice.
2. Your account
You must provide accurate information when signing up and keep your login credentials confidential. You are responsible for anything that happens under your account. Workspace admins are responsible for the users they invite and for the accuracy of the data entered by their team.
3. Acceptable use
You agree not to:
- Use Rostora to store data you are not entitled to process.
- Attempt to disrupt, reverse-engineer, or access the service in ways other than the provided interface and API.
- Upload content that is illegal, infringing, defamatory, or that contains malware.
- Share your account with people outside your workspace or circumvent seat-based pricing.
We may suspend or terminate accounts that violate these rules, with notice where practical.
4. Your data
You own the data you put into Rostora. We process it on your behalf as described in our Privacy policy. You can export your schedule data at any time through the in-app CSV export, and you can permanently delete your workspace from Team settings. After deletion, the primary records are removed within 24 hours; backups roll out within 30 days.
A Data Processing Agreement (GDPR Article 28) is available on request for customers who require one — email info@rostora.com.
5. Subscriptions & billing
Paid plans are billed per seat, per month or year, in EUR excluding VAT. Subscriptions renew automatically at the end of each billing period unless cancelled. Payment is processed by Stripe. You are responsible for any applicable taxes in your jurisdiction.
Prices may change; we will give at least 30 days' notice before changes take effect for existing subscriptions. We do not offer refunds for partial months or unused seats, but we will prorate charges when you add seats mid-cycle.
6. Free plan, Team trial & cancellation
Workspaces within the Free tier limit can use core scheduling for free with no credit card required. Team features can be tried for 14 days with no credit card required. If you do not subscribe before a Team trial ends and your workspace is within the Free tier limit, core scheduling stays available while Team features such as integrations and analytics are disabled. If your workspace is over the Free tier user limit when the trial ends, you receive a 7-day grace period to upgrade or reduce users; after that, the workspace becomes read-only until you upgrade or bring it within the Free limit. You can cancel a paid subscription at any time from the billing panel; the workspace remains accessible until the end of the current billing period.
7. Intellectual property
Rostora, the software, the branding, and the website are owned by Q10 Labs BV. These terms grant you a limited, non-exclusive, non-transferable right to use the service while your subscription is active. You retain all rights to the data and content you put into your workspace.
8. Availability
We aim for high availability but do not guarantee uninterrupted service. Planned maintenance is announced in advance where possible; emergency maintenance may happen without notice. We are not liable for losses caused by downtime, connectivity problems on your side, or issues in third-party services we rely on (hosting, email, payments).
9. Warranty & liability
Rostora is provided as is and as available, without warranties of any kind beyond those that cannot be excluded under Belgian law. To the maximum extent permitted by law, our total liability in any twelve-month period is capped at the fees you paid for Rostora during that period. We are not liable for indirect, consequential, or incidental damages, including lost profits or lost data.
Nothing in this section limits liability that cannot be excluded or limited under applicable law — in particular for gross negligence, intent, or death or personal injury.
10. Termination
You can stop using Rostora and delete your workspace at any time. We may terminate or suspend a workspace if it breaches these terms, if required by law, or if the account has been inactive and unpaid for an extended period. We will give reasonable notice when we can.
11. Governing law
These terms are governed by Belgian law. Any dispute that cannot be resolved amicably will be submitted to the competent courts of Brussels, without prejudice to mandatory consumer protection rules in your country of residence.
12. Changes
We may update these terms as the service evolves. If we make material changes, we will notify active workspace admins by email at least 30 days before the change takes effect. Continued use of Rostora after that date constitutes acceptance of the updated terms.
13. Miscellaneous
Entire agreement. These terms and the Privacy policy make up the entire agreement between you and Q10 Labs BV concerning Rostora, and supersede any prior agreements on the same subject.
Severability. If any part of these terms is found to be unenforceable by a competent court, the rest remains in full force.
Assignment. You may not assign or transfer your rights under these terms without our consent. We may assign them to an affiliate or a successor in connection with a merger, acquisition, or sale of assets, provided the successor agrees to honour them.
No waiver. Our failure to enforce a provision is not a waiver of our right to enforce it later.
